Scanning Services

The Digital Collections Unit (DCU) is the primary provider of copies of images of rare and unique material held by the University of Minnesota's archival and special collections unit. The goal of the service is to provide the timely delivery of digital images to researchers at a reasonable expense while preserving the original. Charges are based on the recovery of the costs of scanning, handling the original, and delivering the image. Please contact the archive unit that houses the original image to initiate the order process.

Explanation of Charges

Rush Orders/Special Handling

Orders placed with the DCU are typically processed on a first one in, first one out basis. Most orders take at least a few days to work their way through the queue. A rush order is placed at the head of the queue right away and is usually completed within a day or so. However, the DCU can make no guarantee of processing time required for any particular order.

Most materials must be left with our professional staff and are always kept in secured areas while in our possession for processing. If this cannot be facilitated and the processing must be overseen by the customer, a Rush Charge will be applied if the customer does not set up an appointment with a member of our DCU staff at least 48 hours in advance.

Shipping & Handling Fee

A minimum charge of $3.00 is applied to any request to ship material. If the cost of shipping and handling is actually higher than $3.00 (for instance, overseas shipping), then the additional cost will also be passed on to the customer.

Handling includes packaging and postage. Standard shipping is via U.S. Mail and usually takes 3-5 business days. Federal Express is available only if customer supplies their Fed-Ex account number.

Internal vs. External Defined

The University mandates internal/external charges. Any charge originating from university departments, students, or staff on university business will incur the internal charge. Examples include, but are not limited to, term/research papers, class presentation materials, and departmental functions or projects. Students must present a current ID and staff should provide a CUFS number for internal billing at the time of placing an order.

Flatbed Scanning

Flatbed scanning represents the cheapest and fastest form of scanning, and will be used when material permits it. However, we reserve the right to select another method of scanning if the original area to be scanned is larger than 11x14 or if the binding is considered too brittle to be placed face down and pressed against the glass scan bed. In such a case the project must be done with the digital camera instead of the flatbed and digital camera costs will be applied. The differences in charges for resolution reflect the increased cost of scanning and delivering high-resolution images.

Slide Scanning

Scanned images include a check for neutral colors and brightness. Image Manipulation fees may apply for difficult color adjustments such as with faded slides or negatives, over or under exposed slides or negatives, or images where the original is a 35mm or 120 mm slide or negative and the final scan dimensions are larger than 5x7. Consultation with a DCU staff member prior to placing an order is highly recommended.

Digital Camera Scanning

The digital camera can handle up to 60x40 inches at a time. Larger images must be done in 2 or more separate scans and are generally provided as separate image files and charged per scan. Image manipulation fees will also be applied on top of the scan charges if, by special request of the customer, the images are stitched together into a single file.

Pre-Existing Scans

A pre-existing scan is an image that is part of an existing digital collection with no further individual scanning necessary to complete the production order. Pre-existing scans are usually 300dpi and are copied from the original digital image at 100% size. A request for an enlargement or finer resolution such as 600dpi requires a new scan and regular scanning prices apply.

Image Manipulation

Scanned images include a check for neutral colors and brightness. We will attempt to produce an image as faithful to the original as technology will permit. Any further image manipulation shall be charged at an hourly rate. This includes, but is not limited to, stitching two or more images together or fine tune color adjustment.

Project Discounts

Usually each image requires individual attention. However, if a set of images can be processed to the exact same specifications, then the DCU can treat them as a "project". Please consult with DCU staff about your proposed order before assuming it qualifies for project pricing.

Processing Fee

This fee covers the administrative costs of processing an order.

General Policy

The Digital Collections Unit (DCU) is the primary provider of scanned images of archival and rare materials in the University of Minnesota Libraries. It will provide accurate copies of original materials within the limitations of technology. The goal of the service is to provide the timely delivery of digital images to researchers at a reasonable cost while preserving the original. Charges are based on the recovery of the costs of scanning, handling the original, and delivering the image.

The University of Minnesota Libraries reserves the right to choose the method of scanning based on the condition of the original. The Libraries may refuse to copy material if, in the judgement of the staff, the material cannot be copied without harm to the original (Mn Stat. 13.40, subd. 3, sect. 2), or without violating the U.S. Copyright Act. Copies are produced with the understanding that the use of the images will be limited to fair use as defined by the Copyright Act. Any other use is at the responsibility and risk of the user. Patrons unsure about the copyright status of documents should consult with the curator of the materials.

The University of Minnesota Libraries reserves the right to change its schedule of charges at any time.

Use of an image from the University of Minnesota Libraries in any electronic or paper publication shall bear the name of the archival unit followed by "University of Minnesota, Minneapolis" directly adjacent to the image. Additionally, use of an image on the web shall link to the archival unit from which it came. Any other use shall be negotiated with the curator of the material; a use fee may be assessed in certain circumstances.

Procedures

Units shall complete an Image Reproduction Form and retrieve materials from the stacks. They will notify the DCU of a job, and the DCU shall retrieve the material and form (or the unit may deliver to the DCU). Upon completion of the order, the DCU will charge the patron, deliver the files, and return the materials to the unit. Any special use fees or use requirements are the responsibility of the unit.

The DCU uses the SOLOMON software, support by the Libraries' Business Office. SOLOMON allows direct billing of CUFS account numbers for departments of the University of Minnesota. Also, it permits credit card purchases. Otherwise, the business office will bill individuals or businesses. Presently, the DCU is unable to accept cash or checks.

Scans produced for reference generally will not be retained unless prior arrangements are made between the curator and the DCU.
